General time tracking settings
In this article you can find out how to adjust the basic settings of time tracking.
In Shiftbase, you have different options to toggle on or off in your settings for time registration. These options will then be displayed in your timesheet accordingly.
💡 Tip: Different departments might need different settings. Use department variations to change settings and rules to suit the needs of specific departments.

General timesheet settings
To find the General timesheet settings, navigate in Shiftbase to Settings > Time tracking > General.

Timesheet Data Collection
- Rate Card Selection: Turn this off if you don't want to use surcharges on your timesheet
- Meal Tracking (Premium): Turn this on if you want to see meal registrations on your timesheet. Enable the column for Meals to view and edit meals in the timesheet.
- KM Tracking (Premium): Turn this on if you want to see kilometer registrations on your timesheet. Enable the column for Km to view and edit meals in the timesheet.
- Time interval: Here, you can indicate the interval settings and set the number of minutes you want the interval to correct to. With it, you can determine how the clock times are rounded. You can choose an interval of:
- 1 minute
- 5 minutes
- 10 minutes
- 15 minutes (default)
- 30 minutes

Timesheet Automation
- Schedule Auto-Import: By default, the shifts from the schedule are copied to the timesheet. This is very convenient when the hours worked are recorded manually. As a result, not all hours have to be added manually. If you want to clock working hours, this setting should be disabled.
- Auto-Approve Scheduled Hours: By turning this setting on, all scheduled hours are automatically approved. This setting is off by default.

⚠️ Caution: If you want to clock working hours, it is strongly recommended to disable Schedule Auto-Import. If this setting is enabled and worked hours are clocked, a duplicate timesheet of the schedule will be created.
If this setting was unintentionally enabled, you can reject the copied timesheets in the Timesheet.
Employee Insights
In Shiftbase, it is possible to track the sentiment of your employees. When clocking out, employees can give their general feeling about their shift and give feedback. This allows you to find trends in sentiment and how they affect on your Insights, performance and profitability.
