Sensitive information

This option is about the sharing of sensitive information. Sensitive information entails all data regarding bank account numbers, social security numbers, ID documents & signed contracts.

Sharing options: Decide which information is saved to the employee profile, once they are hired and converted to Employee.

  • Share all sensitive data: Store all data in the employee profile
  • Do not share any sensitive data: No sensitive data is stored in the employee profile.
  • Custom - choose what to share: Select which data specifically is stored in the employee profile
    • Bank account
    • SSN
    • ID documents
    • Signed contracts

📝 Note: This will be the global default for saving all new employee info. Individual data visibility is still controlled by user-level permissions: view all info, add/view/edit/remove files. Managers without the required permissions can still complete the hiring process — they just won't see the transferred data on the employee profile. 

 

Sharing with payroll integrations

If you have a payroll integration with Nmbrs or Loket, once an employee is hired through HR Pro, an employee is automatically created in the payroll software. This setting decides if sensitive information like, bank account, ssn, ID-documents and signed contract, will be sent to the payroll platform. 

 

Payroll tax form (loonheffing)

In most cases, the Dutch loonheffing is relevant for the employment of a new hire. In this setting, you decide whether the information on the form will be prefilled for the employee and should be signed in conjunction with the employment contract.

  • Yes, send for digital signing: We will pre-fill the form with the new hire's details and include it alongside the contract for digital signing. 
  • No, let the employee handle it: We will still ask new hires whether they want to apply the payroll tax credit, but will not send the form for signature.
