In Shiftbase, it is possible to create an integration with HoorayHR that allows data to be exchanged without manual intervention.

Add integration

To add a HoorayHR integration, go to Settings>App Center>HoorayHR in Shiftbase. Next, click the Install button.

Then, log in to your HoorayHR account using your email address and password.



Once logged in to your HoorayHR account, return to the Shiftbase integration screen and click Connect.

Caution: If you click Connect before logging into HoorayHR, you will be redirected to the HoorayHR login page.
Log in there, and then return to the Shiftbase integration screen.
Click Cancel>Add HoorayHR Integration>Connect

You will then be directed to the next screen to accept the connection.

Once the integration is created, you will be taken to the configuration screen within Shiftbase.

  • Mapping name: Give the integration a name
  • Contract fields: Decide what contract fields you want to sync.
    • Departments
    • End Date
    • Contract Hours
    • Contract Types
    • Job Title
  • Employee fields: Select which employee fields you want to sync.
    • Address
    • Account Number
    • Birth Date
    • Phone Number
    • BSN (Social Security Number)
  • Automatically add new employees: New employees from HoorayHR will automatically be added to Shiftbase during the nightly sync.
  • Notify import email address: The email address entered here will receive notifications whenever changes are pushed from HoorayHR to Shiftbase.

When you're done, press Save.

Set up Integration

Next, you will arrive at the integration settings. You will find the following three tabs:

Contract Departments

First, you’ll see Contract Departments. Here, you can link Cost Centers or Departments in HoorayHR to departments in Shiftbase. This can be done through a drop-down menu. Once the departments are linked, click Save at the bottom.

Contract Types

Next, go to the Contract Types tab. Here, you will link the contract types from HoorayHR to Shiftbase. First, you have the External Contract Types. Here, you link the contract types known in HoorayHR to the contract types in Shiftbase.

👀 Example:

"Hourly worker" is linked to "Zero hours"
"Permanent worker" is linked to "Fixed hours"

Then, you have the Internal Contract Types. Here, you link the contract types from Shiftbase to the contract types in HoorayHR.

"Zero hours" is linked to "Hourly worker"
"Fixed hours" is linked to "Permanent worker"

Once the contract types are linked, click Save at the bottom.

Employees

Finally, you need to link all the employees from HoorayHR to your account. We will try to automatically find a match for every (active) employee within your account.

If no match can be found, the employee will automatically be marked for addition.

The match is made based on the email address and/or BSN. You’ll find your HoorayHR employees in four categories:

  • Unlinked employees: Employees that have not yet been linked and can be added.
  • Linked employees: Employees already linked to an account within your system.
  • Excluded employees: Employees marked as not to be imported, which can be manually set for a specific employee, or detected automatically through contract department/contract type settings.
  • Former employees: Employees who have already left. This group is hidden by default, but can be revealed using the black button on the right.

Once the employees are linked, click Save at the bottom.

Once everything is processed, a sync will occur every night. This updates linked employees and adds new ones, if desired.

Active Applications

If you want to make changes later, you can go to Settings>App Center>HoorayHR.

In the active application overview, you will see four icons:

  • Gear icon: Opens the configuration window.
  • Square arrows icon: Leads to the link settings.
  • Trash bin icon: Deactivates the integration.
  • Download icon: Triggers the sync process that normally runs at night.

Reporting

There is also a specific report for HoorayHR. This report provides a concise overview of worked hours per employee per shift. This report can be sent directly to HoorayHR.

You can find this report under the Reports tab. In the bottom-left corner, select the HoorayHR Report.

⚠️ Warning: If you want to send data for the same period again, you cannot import it into HoorayHR. You will first need to remove the data from HoorayHR.
