💡 Tip: When clocking in and out is used, it is nice to see only the clocked in and out shifts reflected in the timesheet. In this situation, the setting Copy schedule to timesheet should be turned off.

Basic

Round clock in

This setting can be used to determine how the start time is recorded. The different options from the dropdown are shown below along with an example.

⚠️ Note: The examples are based on a time interval of 15 minutes.

  • None: The clock-in times are recorded to the seconds.
  • Nearest: An employee clocks in at 8:06, then a time of 8:00 is recorded. If the employee clocks in at 8:09, then a time of 8:15 is recorded.
  • Up: An employee clocks in at 8:03, then a time of 8:15 is recorded. If the employee clocks in at 8:12, a time of 8:15 is also recorded.
  • Down: An employee clocks in at 8:04, then a time of 8:00 is recorded. If the employee clocks in at 8:13, a time of 8:00 is still recorded.

Round clock out

This setting can be used to determine how the end time is recorded. The different options from the dropdown are shown below along with an example.

⚠️ Note: The examples are based on a time interval of 15 minutes.

  • None: The clocking times are precisely registered.
  • Nearest: An employee clocks at 17:06, a time of 17:00 will be registered. If the employee clocks at 17:09, a time of 17:15 will be registered.
  • Up: An employee clocks at 17:04, a time of 17:15 will be registered. The employee clocks at 17:10, a time of 17:15 will still be registered.
  • Down: An employee clocks at 17:05, a time of 17:00 will be registered. If the employee clocks at 17:13, a time of 17:00 will still be registered.

Copy start time from schedule

⚠️ Note: This setting only applies if you are using the clock function in Shiftbase.

If the clock-in time is within the set range, then the start time is taken from the work schedule.

👀 Example: An employee must start according to the schedule at 8:00. The clock-in margin is set to 60 minutes. If the employee clocks in at 7:42, 8:00 will be recorded as the start time. If the employee clocks in at 8:03, 8:03 will also be recorded as the start time.

💡 Tip: This setting can be used to prevent employees from recording more time than was worked.

Copy end time from schedule

⚠️ Note: This setting only applies if you are using the clock function in Shiftbase.

If the clock-out time is within the set range, then the end time is taken from the work schedule.

👀 Example: An employee is scheduled till 17:00. The clocking margin is set to 30 minutes. When the employee clocks out at 17:15, 17:00 will be registered as end time. If the employee clocks out at 17:32, 17:32 will be recorded as end time.

Approve clock

By turning this setting on, all clocked hours are automatically approved in the timesheet. Highlighted below are the various options from the dropdown.

  • Always: All registered hours are always automatically approved.
  • On schedule match: The registered hours are automatically approved when the clocked times match the schedule times.
  • Never: The registered hours are not automatically approved.

When you click on Advanced settings in the upper right after entering these settings, there are a number of other settings visible. 🔎

Round break shift

A break shift consists of 2 shifts where the time between the end of shift A and the start of shift B is less than one hour.

⚠️ Note: For a difference of more than one hour, the normal settings for rounding start and end times will be used.

Default clock shift

When a clock-in action does not match a scheduled shift, it falls back to the selected default clock-in action.

Clock out after

There is automatic clock-out once the maximum set working time has elapsed. At that time, the end time is set equal to the start time. In addition, an e-mail is sent to the employee who forgot to clock out. User groups for which the notification is set up also receive a message. This way the times can be adjusted manually.

Allow clock in without schedule

It is possible to allow employees to clock in only if they are actually scheduled.

💡 Tip: This prevents employees from clocking in when they are not scheduled.
