📌 2026-09-30
Hey there! 👋 Here's what's new, fixed, and downright awesome in Shiftbase.
Release date: Wednesday, 30 September 2026
🚀 Top highlights:
Expiring documents renew themselves (almost): Health certificates, diplomas and licences expire, and until now only admins heard about it, so you ended up chasing people for a new copy. With HR Pro, switch on expiring document reminders and choose when the first and second reminder go out. Your employees get an email and a push notification, plus an "Action needed" panel in the app, and they upload the replacement themselves. You review it, then approve it or send it back with a note on what's wrong. Every renewal is kept with its own expiry date, so you build up a full history per document. Handy for anyone in Germany getting ready for fully digital employee files from 1st of January.
A better home for employee files: Files now have their own tab on the employee page, between Edit and Teams and permissions. Adding a file opens a full-screen window with a preview for images and PDFs, so you can check you've got the right document before you save it. Give it a title, description, category and expiry date while you're there.
Contracts only go to approved signers: Sending a contract for e-signing used to let you pick any employee as the signer, so a contract could end up with the wrong person. With HR PRO, you now set your approved signers once in settings and pick a default. New hire and extension contracts can only go to those people. If a signer is missing an email address or other required details, Shiftbase tells you and links you to the employee list so you can fix it.
Minijobs in payroll prep: Payroll prep now has a Minijob step, so German teams can settle Minijob payouts in the same flow as absences, timesheets and plus/minus hours. Select more than one month and you can arrange the payouts for each month separately. Whatever you do in the Minijob step shows up in the report at the end. Payroll prep is in Labs, so switch it on and let us know what you think.
🛠Other fixes & improvements:
- Auto scheduling, smarter: If you're in the auto scheduling early access, the readiness check now warns you about absence requests still waiting for approval, with a shortcut to review them. You've been through the check a few times? Skip it from now on (you can switch it back on whenever you like). Shifts the auto scheduler couldn't fill can be turned into open shifts in one go, it takes rate cards into account to find a cheaper schedule (Minijob payout limits included), and required shifts that end after midnight no longer get left unassigned.
- Date pickers everywhere: Every remaining date and period field now uses the new date picker. Zoom out to pick a month, year or decade directly, which makes birthdays and other dates way back a lot quicker to find.
- Edit scheduled reports: Change the frequency of a scheduled report without building a new one.
- Smoother sideways scrolling in timesheets: The team day, week and month views in timesheets scroll horizontally the way they should.
- Excel dates that act like dates: Dates in Excel report downloads are real Excel dates now, so you can sort, filter and calculate with them straight away.
- Print timesheets in bulk: Print timesheets for several employees at once from the Priority view.
- Timesheet fixes: Clocked-in timesheets only ask for your attention when they cross your clocking thresholds, the Priority and payroll views update when someone clocks in or out, clocking out a finished timesheet no longer fails with "User already clocked out", and the employee day view is faster on large accounts.
- Payroll prep: Steps you don't have permission for now show as disabled, so you know they're there.
- Schedule fixes: The schedule remembers the period and view you used last, the shift template filter and compact view stay put when you change filters, loaned employees show in bold again, and long absence notes stay on the calendar.
- Kiosk fixes: The Kiosk now works on phone-sized screens, the PIN pad keeps up with fast taps on tablets, the search field opens the keyboard, and "Log out" no longer disconnects the whole device. A reload no longer sends the Kiosk back to the setup screen, and it no longer stays blank when its settings fail to load.
- Settings fixes: Break rules save properly again (with an error if something's off), and absence types save when "Can be requested by" is left empty.
- Absence fixes: "Own absence" permissions only give access to your own absences, and team leads without "View all users" can find the yearly absence overview again.
- Personio: Some employees no longer get a new contract every day.
- New hire fixes: Deleting a new hire works again, and new hires with a contract end date can be saved.
- Dark mode and rebrand polish: The App Center dropdown, availability text and "Add new row" button now look right in dark mode, plus and minus hours are easier to tell apart in the light theme, and warnings and errors no longer look alike. Plenty of the rebrand feedback you sent us is in this release too.
- Little things: Open employee names in a new tab, long team names no longer overlap the Shift column in the timesheet day view, and the News comment box stays a sensible size.
📲 Mobile:
- Timesheets in the Priority view now show conflicts and deviations, just like on the web. The tab shows the most important icon, and opening the timesheet shows everything that needs a look, with the timesheet note at the top to help you decide whether to approve or reject. Available in Labs.
- Your request count on Android loads almost immediately, instead of after a trip to My requests and a wait.
- Expiring documents: employees get a push notification and an "Action needed" panel on the home screen, and can upload and resubmit replacements straight from their phone.
Coming soon: we're starting a small beta for AI forecast explanations, showing why each department or team is (or isn't) ready for a forecast, and for importing your expected turnover from a CSV or Excel template.
