📌 2026-09-02
Hey there! 👋 Here's what's new, fixed, and downright awesome in Shiftbase.
Release date: Wednesday, 2 September 2026
🚀 Top highlights:
A guided flow to get your period ready for payroll Checking whether a period is ready for payroll means jumping between timesheets, absences and plus/minus balances, and hoping you didn't miss anything. The new payroll prep flow walks you through it instead. Pick a department and a date range, work through the open absences and pending timesheets, settle plus/minus balances, lock the period, and generate your report at the end. You can start it from the timesheets page with your range already filled in, change scope halfway through, or skip a step if you don't need it. This is a first version in Labs for Premium plans, so switch it on, try it, and tell us what's missing.
New hires go straight to your payroll system If you use HR PRO with Loket or Nmbrs, a new hire now lands in your payroll system automatically once they convert to an employee. No manual import, no cross-checking two systems, no typos to hunt down afterwards. You map your Shiftbase departments and teams to payroll departments and cost centres yourself, and Shiftbase warns you when the import and export mapping don't line up. Multiple locations are covered too: one integration can hold several connections, and new employees are pushed and updated across all of them.
Big reports load, and keep loading A report that finished building didn't always open. Reports now use a fraction of the memory they did before: an 8,000 row report dropped from 592 MB to under 12 MB. An 80,000 row report opens quickly, filters without dragging, and exports to a 30 MB Excel file. Go nuts.
The new employee page for everyone The revamped employee page is now on for all accounts. You choose how many employees you see per page, up to 100, instead of being stuck with 25 (or 10 when you group by team, department or location). Your grouping is saved to your account, so switching computers or browsers no longer resets your view.
🛠Other fixes & improvements:
- Preview a contract template without downloading it: Contract PDFs now open inside the mapping screen, so you can check the layout next to the fields and variables. The download button moved up next to the close button, so sensitive contracts stay off your laptop unless you actually want them there.
- Your branding in new hire emails: Add your logo, brand colour and text accents, and welcome emails to new hires show your company instead of ours. Less confusing for someone who hasn't started yet.
- Shiftbase suggests your skills for you: Setting up skills for auto scheduling meant building the list by hand. Shiftbase now looks at your shift templates and the last 90 days of schedules, suggests the skills worth creating, and pre-selects the employees who consistently work those shifts, in the right department.
- Butlaroo in the App Center: Connect your Butlaroo POS from the App Center. Request the app and your API key is created and sent over.
- New navigation everywhere: The new navigation is now live for every account.
- A fresher look across settings: Absence types, absence balances, absence restrictions, break rules and clock boundaries settings now follow the current design system, along with report filters and layouts, the News page, timesheet and schedule action buttons, and the billing and plan wizard.
- Find your way around organisation settings: The organisation settings list has search and filters.
- More from your reports: Pick several absence types at once in requests reports.
- Imports keep your corrections: A new setting stops employee imports from overwriting departments you fixed by hand.
- Auto scheduling setup: Step back to a previous step in the setup flow without starting over, and the panel now spells out that a required shift needs an exact start and end time before a run can start.
- POS and integrations: External POS integrations can send individual receipts for hourly turnover tracking, MplusKASSA connections accept a custom API host, Datafox terminals show the real reason a clock-in failed again, and Lightspeed receipt imports handle permission errors more gracefully.
- Timesheet fixes: A late clock-in on a night shift no longer shows up as hours early, the rate card field shows in the timesheet modal for people without approve rights, and employees who were clocked out automatically no longer sit in the Priority view as clocked in.
- Absence and balance fixes: Requesting a partial-day absence no longer triggers a false contract hours warning, and time off balance details load reliably again.
- Schedule fixes: The delete button is back on shifts in the compact month view, profile pictures load in the schedule again, employee icons stay visible after you schedule someone, the required shift side panel opens where it should, and the right department header stays pinned when you drop a shift in from the sidebar.
- The right language, the right date: Email subject lines follow your language setting, and Kiosk dates follow the selected language instead of falling back to the US format.
- Availability reminders: The warning is back when you schedule an availability reminder past the editing deadline.
📲 Mobile:
- Your profile picture is bigger on the profile page, and sharper too. Pictures above 200 pixels now come through at full quality.
- The calendar is rebranded: cleaner, sharper, and a few bugs lighter.
- Absence items match the rest of the schedule. Same avatar shape as shifts, with a small absence icon so you can still tell them apart at a glance.
- Saving a timesheet on iOS no longer hangs until you background the app.
Coming soon: auto scheduling is opening up to an early access group of around 100 customers this week, with best fit cover for absences and multi-department runs. Monthly demand forecasts in the schedule are on the way after that.
